Support Services Specialist I

VBCH is seeking a full-time Support Services Specialist I to join our dedicated team. This position plays a key role in supporting non-clinical operations that enhance the overall patient experience.

Primary Function and Positional Purpose:

The initial assignment will be a Supply and Linen Tech.

The Support Services Specialist will develop competency across multiple roles—including Supply and Linen Tech, Environmental Services Tech, and Food Service Worker —through a structured career ladder program. Starting as a Support Services Specialist I, the employee will train and demonstrate proficiency as a Supply and Linen Tech before being trained in another role, gaining flexibility and value within the Support Services Department. This progressive training model supports professional growth, culminating in advancement to Support Services Specialist III, while enhancing the department’s ability to serve patients effectively.

The Supply and Linen Tech is responsible for the accurate and timely ordering, receiving, and delivery of medical and non-medical supplies to various hospital departments. This position ensures that all units have the necessary materials to operate efficiently and that inventory levels are maintained to support continuous patient care. The Supply and Linen Tech plays a key role in maintaining the supply chain workflow, working closely with clinical and support staff to ensure timely replenishment and availability of supplies.

The Supply and Linen Tech is responsible for laundering, sorting, storing, and distributing clean linens, scrubs, and soft cleaning materials to designated departments within the facility. The position ensures adequate inventory levels are maintained and that clean items are delivered on schedule in accordance with infection control, safety, and organizational guidelines. The technician also supports collection and safe handling of soiled materials, maintaining a high standard of cleanliness and service.

Position Essential Functions:

Supply

  1. Accurately processes supply orders based on departmental requisitions, par levels, and usage trends.
  2. Utilizes inventory management systems to monitor stock levels and ensure timely reordering of supplies.
  3. Verifies availability of items through vendors or supply databases, and resolves discrepancies or backorders.
  4. Conducts routine inventory counts and adjusts stock levels as needed.
  5. Labels, rotates, and organizes stock according to hospital standards and infection control policies.
  6. Reports discrepancies, expired products, or damaged items to the Support Services Manager for corrective action.
  7. Receives deliveries from vendors, verifying accuracy against packing slips and purchase orders.
  8. Distributes supplies promptly to designated departments, ensuring critical items are prioritized.
  9. Maintains clean, safe, and organized storage areas in compliance with regulatory standards.
  10. Maintains open communication with clinical departments to understand supply needs and special requests.
  11. Coordinates with purchasing and logistics staff to resolve any order or delivery issues.
  12. Provides feedback on frequently used items or supply substitutions to help improve cost efficiency and service quality.
  13. Completes required documentation accurately, including delivery logs, inventory sheets, storeroom supply outdate checks, and electronic records.
  14. Tracks and reports usage trends and any supply issues that may impact department operations.
  15. Ensures compliance with hospital procurement procedures and regulatory standards.
  16. Follows all hospital and departmental safety policies, including proper handling and storage of medical supplies.
  17. Adheres to infection prevention protocols during the transport and delivery of supplies.
  18. Participates in audits and training to stay current with safety and supply chain best practices.
  19. Assists staff within other areas of Support Services as directed by the Support Services Manager.
  20. Embraces departmental growth opportunities and collaborates with the Support Services Manager on ways to reduce waste and become more efficient.

Linen

  1. Launders linens, scrubs, and cleaning materials according to facility procedures and infection control standards, including proper handling, loading, operating, and unloading of washers and dryers.
  2. Sorts and inspects all incoming and outgoing linens to ensure cleanliness and quality, discarding or reporting damaged items according to protocol.
  3. Folds, organizes, and stores clean linens and scrubs in preparation for delivery, maintaining inventory rotation and appropriate labeling.
  4. Delivers clean linens, scrubs, and cleaning supplies to designated departments based on established delivery routes and schedules, ensuring timely and accurate distribution.
  5. Collects soiled linens and scrubs from departments and transports them to the laundry area for processing, following infection control and safety guidelines.
  6. Monitors inventory levels of linens and scrubs and communicates supply needs or discrepancies to the supervisor for replenishment or corrective action.
  7. Maintains cleanliness and orderliness of laundry and storage areas, including routine cleaning of equipment and workspaces.
  8. Adheres to safety and infection prevention protocols during all phases of laundering and delivery, including the use of personal protective equipment (PPE).
  9. Completes required logs, documentation, and inventory tracking in a timely and accurate manner, whether electronically or manually.
  10. Collaborates with clinical and support staff to address linen-related needs, concerns, or urgent requests in a professional and courteous manner. Be able to organize work efficiently and to work efficiently with minimal supervision.
  11. Performs functions, which require knowledge of hospital linen, disinfecting soiled contaminated linen, handling soiled/contaminated line, handling clean ready to use linen, laundry machines (dryers, washers) and using laundry chemical detergents/disinfectants, according to manufacturer’s specifications.  Maintain environment that is clean and orderly.
  12. Observes and reports to supervisor any safety concerns to visitors, patients and employees.  Reports defective equipment promptly.
  13. Be familiar with current department policies and/or procedures and make recommendations to improve upon existing quality standards.
  14. Work with the Support Services Manager to ensure that all procedures within the organization conform to health and safety regulations, financial policies and legislation such as equal opportunity.
  15. Work with management to determine and document any areas that may need improvement.
  16. Assist in other Support Services areas.
  17. Assists staff within other areas of Support Services as directed by the Support Services Manager.
  18. Embraces departmental growth opportunities and collaborates with the Support Services Manager on ways to reduce waste and become more efficient.

All Employee Essential Functions:

  1. Attendance at work on a regular and reliable basis.
  2. Maintains patient, hospital and, employee confidentiality in all aspects of the job.
  3. Meets with supervisor concerning policies and procedures, work assignments, financials and other functional problems. Keeps supervisor informed of department activities and needs.
  4. Complies with all established policies and procedures of the hospital and of the department, to include the Code of Conduct and the Code of Ethics and Compliance.
  5. Must be able to safely work in an environment where latex is prevalent.
  6. Complete annual education requirements. Stays up-to-date with industry matters.
  7. Attend meetings as appropriate.
  8. Meets standards of hospital infection control.
  9. Maintains all applicable regulatory requirements, including licensure requirements when applicable.
  10. Commits to being diligent about safety policies and practices within the organization and assigned department.
  11. Accepts additional duties as assigned when they are deemed appropriate by the employee's supervisor.

 Education, Certification, and Experience Requirements: 

  1. High school diploma or equivalent is preferred.
  2. Experience in institutional supply chain and/or laundry care preferred.
